General terms and conditions for online reservations on the website of the hotel Arapya Resort 3***

RESERVATIONS AND ACCOMMODATION

Arapya Resort or referred to as "Hotel" for short undertakes to ensure the use of the services requested and paid for by the client by online reservation, in their full quantity and quality according to the data provided by the client through the reservation form for: name of the client, period , number of nights, number of adults and children /number and years/, price per night. The customer is responsible for incorrectly and incorrectly submitted information, and the Hotel reserves the right to charge a penalty /penalty fee/ for accommodation other than that indicated in the initial reservation.

The "Additional information" field in the reservation form is not mandatory for the Hotel, and all wishes of the client, filled in in the field in question, will be satisfied only if possible.

Upon successful booking, a booking confirmation is sent by e-mail, which contains all the details of the booking, including the booking price and how to change or cancel the booking.

 

PRICES AND PAYMENT

Prices on the Hotel's website are in BGN (BGN), including VAT. Only for clarity and information purposes, the amount may be shown in other currencies when booking. The total amount owed by the customer is calculated automatically, depending on the number of days, the number of adults and children, as well as their ages, and on the current price offer for the relevant period.

When making online reservations for guarantee purposes, it is necessary to pay the amount stated as a deposit on the reservation form and in the reservation confirmation from the total amount of the reservation at the time of booking, by debit/credit card or at the latest by the deadline specified after booking Bank transfer.

In the case of incorrectly filled-in details on your part when booking, we inform you that the Hotel reserves the right to demand an additional payment on the day of check-in.

The hotel reserves the right to change prices and special offers on its website depending on demand and currently available vacancies. For bookings already made, confirmed and paid, the amount due does not change, regardless of the new price offers presented.

 

CANCELLATIONS AND CHANGES TO RESERVATIONS

In case of cancellation, non-use or change of an already paid online reservation by the customer, the Hotel shall refund the amount paid upon request by charging the corresponding penalty announced in the conditions of change or cancellation announced at the time of booking and in the booking confirmation sent by e - email:

When refunding a paid amount, all transfer costs (bank fees and others) are for the client's account. Refunds due to cancellation are made within a 30-day period depending on the method of payment, the amounts are refunded only to the bank account from which they were received. Your card data is only used by the intermediary bank and is not stored by us.

The following cancellation/no-show policy applies to bookings with a check-in date 14+ days from the booking date:

No fees are charged if the customer makes cancellations or changes to confirmed bookings more than 14 days prior to arrival. Cancellations or changes (names, length of stay, check-in date, check-out date, etc.) made less than 14 days before arrival will incur a fee of 30% of the total booking amount.
In case of "no-show" a fee of 100% of the total value of the reservation is applied.
In the event of a guest leaving before the booked departure date, the hotel will retain 100% of the value of unused services.
The following cancellation/no-show policy applies to bookings with a check-in date up to and including 14 days from the booking date:

TYPES OF PAYMENTS

Payment can be made in 3 different ways:

Electronically with a debit or credit card
We accept payments by Visa, Visa Electron, V Pay, MasterCard, MasterCard Electronic or Maestro cards. When choosing this payment method, a payment page of our servicing bank (UniCredit Bulbank) opens, where you enter your card details. If you are registered with the Verified by VISA or MasterCard SecureCode authentication schemes, an authentication page of your Issuing bank opens, where you enter your authentication password. When a transaction is successful, a transaction note is displayed on the screen, which you print or save.

Your card data is used only by the intermediary bank and 

are not stored by us.

To protect you from abuse when paying with your Visa or MasterCard card, we apply the best practices recommended by international card organizations:

Security when entering and transferring card data is ensured by using the SSL protocol to encrypt the connection between our server and the payment page of our servicing bank.
The authenticity of your card is verified by entering a security code (CVV2).
In addition, to identify you as a cardholder, the e-commerce payment server of our servicing bank supports the authentication schemes of international card organizations - Verified by VISA and MasterCard SecureCode, in case you are registered to use them.
At the time of online booking, the mentioned amounts will be automatically withdrawn from your card at the end of the payment process.

From the point of view of security, the maximum amount for payment by card is BGN 10,000.

2. By bank transfer

The payment of the specified amount must be made at the latest within the period indicated after the reservation. After making the payment, it is recommended to send a copy of the payment document to the Hotel, and the reservation number must be entered in the reason for payment.

In cash, at the Hotel reception
For reservations with a check-in start date in the next 3 days, it is recommended to choose cash payment at reception to speed up the reservation processing process.

 

IMPORTANT!

If the internet reservation is not paid within the specified period and a copy of the payment document is not sent when paying by bank transfer, your reservation will be automatically canceled by the reservation system.

In case you are prevented from paying the amount for an already made online reservation, please notify us by e-mail: reservation@arapya-resort.com. In case of non-compliance with this condition, the Hotel has the right to seek liability and penalties for completed and unpaid reservations.

PERSONAL DATA

Your personal data are protected according to the legislation of the Republic of Bulgaria and are used only by the Hotel's reservation department

The protection of your personal data is important to us. We therefore process your information exclusively on the basis of applicable legislation, specifically the GDPR, the Personal Data Protection Act (DPA) and the Electronic Commerce Act (ECA).

We do not provide data to third parties, with the exception of specialized booking software and the payment service provider (bank, PayPal, ePay) processing the payment.

If an order is not completed, we delete the data entered for it. When an order is completed and a contract executed by us on the basis of Art. 6, para. 1, letters (a) and (b) of the GDPR, we store all data on the legal relationship until the expiration of the period provided for in Art. 12 of the Accounting Act (Accounting Act) 10-year term.

ACCESS CONTROL

Check-in at the hotel starts after 14:00, with an afternoon breakfast, and the rooms are ready after 15:00. Rooms are vacated by 12:00. By 11:00 a.m., we ask guests to vacate the hotel's rooms, complex and parking lot. In case of non-compliance, without prior arrangement, additional fees will be charged.
The complex is under 24-hour security, video surveillance and controlled access at the entrance and exit.
The control over compliance with the traffic regime is carried out by a security guard.
Each guest can be checked in after presenting an identity document.
During the entire stay, guests must wear the wristband they received from Reception upon check-in. It is forbidden to give the bracelet to other people.
Outsiders are brought into the Complex after their registration at the Reception.
Guests are not allowed to enter the office premises.
The importation of weapons, flammable and explosive objects is prohibited.
The management of the Complex is not responsible for personal belongings and valuables left unattended by the guests.
